Position Description:  Assists with the day-to-day aspects of property management and maintenance issues related to a commercial property portfolio.  This portfolio is primarily in the Sioux Falls, SD market; however, there are other retail properties located in the Midwest region.  This individual works in coordination with the Commercial Property Manager, the accounting team, brokerage, facilities staff and construction division to provide a full range of timely services to tenants and vendors.  Reports to the Commercial Property Manager.


 


Essential Job Functions/Scope:



  1. Revenue Generation Assistance

  3. Leasing Assistance and Property Data

  4. Maintenance Coordination

  5. Financial Management and General Administration Assistance


 


Primary Goals and Responsibilities:



  1. Revenue Generation

    1. In conjunction with brokerage division, assists Commercial Property Manager to ensure commercial portfolio is leased to optimal capacity.

    2. Assists with monitoring and management of leasing rates to maximize income.



  2. Customer Relations

  3. Addresses tenant complaints, concerns and requests appropriately and in a timely manner to ensure an outstanding leasing experience as directed.

  4. Develops and maintains excellent tenant/owner relationships as well as vendor relationships.

  5. Assists with tenant retention programs.

  6. Leasing Assistance and Property Data




    1. May assist with construction coordination, contractors, and subcontractors with regard to tenant build outs, maintenance issues, upkeep or reconditioning of property as needed as well as after move-out and prior to new tenant move-in.




  1. Orients new tenants, provides contact information for leasing questions, maintenance, and emergencies.

  2. Monitors renewals.

  3. Understands policies of insurance on commercial properties, including procedures for filing claims and loss prevention reports.



  1. Maintenance Coordination

    1. Assists with that preventative maintenance programs.

    2. Prepares periodic inventory of equipment, tools and vehicles used in property management.



  2. Financial Management and General Administration Assistance

    1. Assists with collection of rental payments and all other charges.

    2. Utilizes resources, equipment and supplies economically.

    3. Ensures all reporting and administrative paperwork is accurate, complete and submitted in a timely manner.

    4. Maintains and implements all company policies and procedures within company guidelines to ensure efficient workflow.

    5. May process A/P invoices and expense reports.



REQUIREMENTS
Knowledge and Critical Skills/Expertise:
• Superb customer service skills.
• Highly motivated service-oriented self-starter.
• Proficient math skills.
• Superior written and oral communication skill.
• Excellent computer skills; knowledge of Property Management Accounting Software preferred.
• Demonstrated ability to manage multiple priorities on a daily basis.
• Strong skills with the ability to work with multiple disciplines in the industry.

Required Experience/Education:
• At least three years’ experience as an administrative assistant; experience in the commercial real estate field or other related industry preferred.
• Basic knowledge of accounting.
• Proficient with computer programs such as MS Office Suite, Yardi, or other property management software.
• Self starter, must be able to set goals and tasks, have strong leadership and judgment skills, and the ability to make decisions with little or no direction from supervisor.
• Must have a valid driver’s license and ability to travel occasionally.
• Must have or be willing to obtain license as a Real Estate Broker in the State of South Dakota.

Environmental Conditions:
• Most work will occur in an office environment with controlled climate; however, there will be occasional need (1-5 times per week) to be outdoors in while showing properties. Minimum travel required; however, there may be an occasional need (one day per month or less) for extended travel (30 miles or more) that may require an overnight stay (one time per year or less).
• The job is periodically sedentary, but requires mobility (i.e. climb stairs or squat) to tour and inspect properties.
• This position involves sitting, walking, or standing for prolonged periods of time and stooping for brief periods of time.
• There is some repetitive motion of the hands and wrists associated with using a computer.
• Long hours during the day, night or weekend may be required to meet business and performance expectations.
• May, upon occasion, be outdoors in inclement weather.
