Job Title: Accounting Representative/Office Manager
Department: Accounting/Finance
Reports To: CFO
Position Summary
The Accounting Representative/Office Manager supports the company’s accounting and finance operations by handling day-to-day financial transactions, maintaining accurate records, and assisting with reporting and reconciliations. In addition, this role will provide oversight to the administrative operation. This role requires attention to detail, organization, and the ability to work collaboratively with internal teams and external partners.
Key Responsibilities
- Process accounts payable and accounts receivable transactions
- Prepare and post journal entries as assigned
- Reconcile bank statements, credit cards, and general ledger accounts
- Assist with month-end and year-end closing activities
- Maintain accurate financial records and documentation
- Support invoicing, billing, and collections activities
- Communicate with vendors and customers regarding billing or payment inquiries
- Payroll processing for all entities of the company inclusive of maintaining pay records and processing expense reimbursements when applicable
- Manages and maintains all Asset records for RMI, complete title transfers, and process appropriate documentation as applicable
- Maintains petty cash
- Ensure compliance with company policies and accounting procedures
- Maintain confidentiality of financial information
- Manage day-to-day administrative functions
- Coordinate company supplies, service providers, and vendors
- Provide administrative support to leadership and department managers
- Additional job responsibilities and/or duties as assigned
Required Skills & Qualifications
- Prior experience in accounting, bookkeeping, or finance support roles
- Strong numerical accuracy and attention to detail
- Proficiency with accounting software and Microsoft Excel
- Ability to manage multiple tasks and meet deadlines
- Strong organizational and time management skills
- High level of integrity and professionalism
- Effective written and verbal communication skills
Preferred Qualifications
- Associate’s or Bachelor’s degree in Accounting, Finance, or related field
- Experience with QuickBooks or similar systems
- Payroll processing experience
- Knowledge of basic GAAP principles
Physical Requirements
- Ability to sit and work at a computer for extended periods
- Ability to lift up to 25 pounds occasionally
