Job Description

Are you a detail-oriented individual with a passion for furthering the mission of the Catholic Church?  The Discipleship and Evangelization Office of the Catholic Diocese of Sioux Falls is seeking a dedicated Administrative Assistant to join our team at the Catholic Chancery Office in Sioux Falls, SD.

The Administrative Assistant serves the Office of Discipleship and Evangelization to provide support to the lead staff of the Discipleship and Evangelization Office.  Responsibilities include managing multiple calendars, creating and processing correspondence, and collaborating with the planning, organization and implementation of discipleship and evangelization programs and events.

Essential Duties and Responsibilities:

  • Maintain a robust scheduling system involving multiple calendars, projects and events
  • Assist with creating written correspondence by drafting letters, including researching and analyzing information to create a response and routing to other offices as necessary
  • Assist with editing and proofing programming, marketing and policy documents
  • Coordinate meeting logistics, both on and off site including reservation of rooms, vehicles, meals and off-site facilities
  • Assist with receptionist duties by greeting guests, and answering phone calls

  • Willingness and ability to effectively make known the Catholic Church’s teachings through the varied ministry activities expected of this position.
  • Willingness and ability to act as a personal witness to the Catholic faith and religion by living both one’s professional and personal life in accordance with the doctrines and moral teachings of the Roman Catholic Church, as embodied in the various documents of the Roman Catholic Church, including, without limitation, the Catechism of the Roman Catholic Church.
  • Ability to demonstrate a high level of proficiency when performing a variety of tasks simultaneously in an environment with multiple team leads
  • Excellent organizational, time-management and problem solving skills
  • Superior communication skills, both written and verbal
  • Ability to maintain strict confidentiality

Education:

  • High school diploma with post-secondary education preferable

Experience:

  • 2 years providing administrative support in an office setting

Other Elements:

  • Baptized, Confirmed and active member of the Roman Catholic Church

Required Knowledge, Skills, and Abilities:

  • Familiarity with or willingness and aptitude to learn a variety of digital platforms including OSB, Adobe Creative Suite, Google Suite, Notion, Zoom and Teachable.
  • An understanding and working knowledge of all desktop applications included in the Microsoft Office Suite and various web applications.
  • Ability to work independently and in a team-oriented, collaborative environment to think strategically, multitask, and conform to shifting priorities, demands, and time lines.
  • Proven communication skills, and ability to work effectively with a wide range of individuals while maintaining strict confidentiality.
  • Proven organizational skills and attention to detail when dealing with filing systems, processes, event planning and office scheduling

  • Vision abilities required include close vision, depth perception and the ability to adjust focus.

Work Environment:

The employee will work with a large number of individuals, often requiring multitasking and working with deadlines and details to ensure all of the essential functions are performed in a timely and courteous manner.  The position is full time, typically working in the Catholic Pastoral Center offices. Occasional weekend and evening working hours may be required along with rare travel expectations.
