Compensation and Benefits

  • Administrative Assistant has starting wage of $18.00 - $22.00 based on experience.

Schedule: Typically Tues - Saturday 9:00am-6:00pm with some occasional varience for club events. 

Reports to: General Manager/Chief Operating Officer

Supervises: No supervisory duties are included in this position.

Classification: Non-Exempt

Job Summary / Essential Functions

Assure a high standard of professional conduct, teamwork, and communication.  The Administrative Assistant facilitates the efficient operation of the Club’s reception desk, reservations, telephone operations, and some digital media communication.  He/she also assists Club Members with questions and updates to their membership experience and supports the management team with a variety of projects as assigned. 

Education and/or Experience

  • Associate’s Degree in a related field required; Bachelors Degree preferred.
  • Minimum of two years of related administrative, communications, or reception experience.

Job Knowledge, Core Competencies and Expectations

  • Excellent oral and written communication and interpersonal skills.
  • Detail oriented and highly organized.
  • Strong analytical and problem-solving skills.
  • Technical competency in MS Office, e-mail, web browsing, and general office equipment required; competency in Jonas or Club Essential Club Management Software preferred.
  • Ability to work independently with minimal supervision.
  • Knowledge of and ability to perform required role during emergency situations.

Supervisory Responsibility

  • No supervisory duties are required of this position, though collaboration and teamwork is essential to successful performance.

Job Tasks/Duties

  • Greet and assist Members, employees, and guests in a courteous and professional manner, and maintain a tidy and welcoming reception area.
  • Manage incoming calls and inquiries, directing them to the appropriate team members.
  • Monitor and maintain the Club’s website and social media content as provided by club management.
  • Assist with membership inquiries, applications, and coordinate/schedule prospective member interviews.
  • Assist in the development of committee agendas, schedule meetings, attend and take minutes for committee meetings as assigned. 
  • Provide administrative support to club management and staff; responding to and resolving inquiries.
  • Assist in the maintenance and filing of Members’ records.
  • Assist in the preparation and mailing of monthly membership statements and various marketing materials.
  • Maintains office supplies and coordinates maintenance of office equipment.
  • Identify and implement process efficiencies where possible.
  • Attends scheduled staff meetings.
  • Performs other appropriate assignments and projects as required.

Language & Computer Skills

  • Excellent communication skills, including the ability to read, write and communicate verbally in English. Comprehension of detailed instructions, and the ability to compose professional correspondence is required.
  • Ability to effectively present information in a variety of settings, from one-on-one to audiences of 10+.
  • Must be proficient in Microsoft Office Suite, e-mail, web browsing.
  • Proficiency with social media platforms and graphic design software is preferred.
  • Proficiency in the Club Essential or Jonas Club System platforms preferred.

Physical Demands and Work Environment

  • This position requires 40 hours per week; weekend and holiday work may be required from time to time.
  • You must be able to reach, bend, stretch, twist, stoop, and stand.
  • You must be able to push and lift up to 40 pounds safely, must be able to sit for prolonged periods.

  • This is a typical office environment with moderate noise levels.
  • Some local travel may be required.
