Position Overview:

Children’s Home Society of South Dakota is seeking a Full-Time Administrative Assistant to provide administrative assistance and complete various tasks for the department. What You'll Do:
  • Office Management: Ensure office supplies are always in stock.
  • Administrative Support: Answer telephone, route callers and distribute messages. Receive and distribute incoming mail and prepare and post outgoing mail. Review invoices and provide to Accounts Payable as needed. Receive and document in-kind donations. Schedules meetings, appointments and vehicles.
  • Travel and Logistics: Arrange travel itineraries, accommodations and transportation for staff. Process expense reports as needed.
  • Document Management: Assimilate and type reports and correspondence. File administrative correspondence and reports. Scan, photocopy, and file documents as needed. Ensure the confidentiality and security of sensitive information.
  • Visitor and Guest Support: Greet and assist visitors and guests. Ensure a welcoming and professional reception area.
  • Meeting Support: Order food as needed for events. Maintain conference room reservations. Setup and cleanup food as needed for meetings.
  • Data Entry and Record Keeping: Maintain confidentiality and security standards at all times. Maintain employee calling tree.
  • Oher Duties: Other projects as assigned for administrative and program staff. Attend assigned meetings and training.

Requirements

Education:
  • High school diploma required.

Experience:
  • One year administrative experience desirable.
  • Knowledge of and ability to use personal computers and software utilized by office.

Physical Demands and Work Environment:

Normal office environment with minimal exposure to dust, noise, etc. Extended PC viewing and keyboarding required. Extended periods of sedentary work required.
