POSITION SUMMARY
The Administrative Assistant will perform varied secretarial duties such as screening mail, handling telephone calls, setting up files and records, and preparation of routine reports. They will be required to greet customers/visitors and answer the telephone to assist with any inquiries or transfers to internal and external contacts. They will also be expected to prepare correspondence, reports, conduct special projects as directed, and will support internal teams with a variety of clerical and coordination tasks.
ESSENTIAL FUNCTIONS

The following are the essential duties of this position and do not include marginal functions that are incidental to the performance of fundamental job duties. The scope and duties of a given position may change or be temporarily altered based on the business needs of Rosenbauer.
- Answer phones and emails from customers, dealers, and internal contacts to provide assistance or route inquiries appropriately.
- Greet all visitors in a friendly, professional manner and serve as a welcoming representative of the company.
- Coordinate travel arrangements for employees and customers, including hotel and transportation bookings.
- Receive and distribute incoming mail and packages to appropriate departments.
- Manage the in-house company store, ensuring branded merchandise is stocked and organized.
- Perform general administrative duties such as screening mail, handling calls, setting up files and records, and preparing routine reports.
- Draft and format correspondence, reports, and internal documents as needed.
- Assist with planning and coordinating meetings, conferences, and presentations.
- Use company software and office applications to create documents, spreadsheets, and basic graphics.
- Work with Operations to create and build Spin Cars.
Performs other duties and responsibilities as required by management to meet the needs of the company.

S | Skills: Language: Able to write reports, business correspondence and procedure manuals. - Able to effectively present information and respond to questions from groups, employees, vendors, and the public.
- Able to effectively always communicate with tact and diplomacy to develop relationships with internal and external contacts to provide excellent customer service and conflict management.
Outstanding oral and written communication skills, including tact and diplomacy, which would be utilized during customer service, conflict management, and development of relationships with internal and external contacts.
Math: - Able to add, subtract, multiply, and divide in all units of measure, using whole numbers, fractions, and decimals.
Computer: Able to perform simple tasks, such as creating an email and using basic commands. Use of Microsoft office suite (excel, word, etc.), and adobe for viewing prints.
