This position is the first and front face to those efforts.
The
Administrative Assistant position is responsible for the department's front desk and answering the main line number for the department. As such, this position is the first face of the department for all visitors and employees who enter the MacKay building and is responsible for knowing and following protocols for guest entrance. As the primary greeter for the department's main line phone, this role must be able to quickly ascertain the caller's purpose and transfer calls to the appropriate employee within the department. Additional duties include distributing mail throughout the building and collecting outgoing mail, monitoring the general department email inbox, and appropriately forwarding inquiries and managing conference room reservations and logistics.
In addition, this administrative assistant role will support several divisions within the department for travel arrangements and invoice payments. This would include preparing financial forms, coordinating travel and lodging arrangements, processing reimbursement requests, tracking and maintaining files, and coordinating hotel reservations. Finally, this role is a part of the department administrative assistant team and as such fills in for and supports other administrative assistant roles when needed.
