What We’re Looking For
- Associate’s or Bachelor’s degree in Accounting, Business Administration, or related field (or equivalent professional experience)
- Background in bookkeeping, accounting administration, or financial support functions
- Strong organizational skills with exceptional attention to detail
- Experience with ERP systems (NetSuite preferred), accounting platforms, or CRM databases
- Advanced proficiency in Microsoft Office, particularly Excel
- Ability to manage multiple priorities while maintaining accuracy and professionalism
- Strong written and verbal communication skills
- Polished, client-focused demeanor with a service-oriented mindset
- Ability to work independently while collaborating effectively across departments
- Familiarity with accounting documentation, compliance requirements, and internal controls preferred
Key Responsibilities
Accounting & Administrative Services
- Process and maintain W-9s, vendor onboarding documentation, and credit applications with complete accuracy and proper approvals
- Manage regulatory filings, lien releases, vehicle titles, and state documentation
- Maintain organized, audit-ready digital and physical filing systems across AP, AR, tax, and legal records
- Oversee document retention, version control, and secure retrieval processes
- Support internal controls by ensuring all documentation is complete, compliant, and properly maintained
System & Data Integrity (NetSuite / CRM)
- Enter and maintain customer, vendor, project, and contract data with high accuracy
- Validate completeness of required fields prior to invoicing, reporting, or revenue recognition
- Identify and resolve data discrepancies across sales, operations, and finance
- Support data governance initiatives and system cleanliness standards
Front Desk & Office Operations
- Serve as the professional first point of contact for clients, visitors, and partners
- Manage inbound calls, correspondence, mail, and deliveries with discretion and professionalism
- Coordinate meeting logistics, conference room scheduling, and general office administration
- Support leadership with light executive coordination as needed
- Maintain a polished, executive-level front-of-house environment
Bookkeeping & Transaction Support
- Assist with accounts payable, accounts receivable, expense processing, and bank coding
- Support month-end close preparation, reconciliations, and audit schedules
- Ensure transactions are properly documented and aligned with internal controls
Performance Standards
Success in this role includes:
- Complete and current vendor documentation at all times
- Same-business-day filing and document retrieval
- Less than 1% system data entry error rate
- No billing delays due to incomplete or inaccurate data
- Timely completion of month-end close support tasks
- Zero audit or compliance exceptions related to documentation
- Consistently positive feedback from visitors and internal stakeholders
