Job Summary:

We are seeking a detail-oriented and tech-savvy Accounts Payable Specialist and Automation Coordinator to bring accuracy, skill, and leadership to our payables process. In this role, you will collaborate closely with the finance team to ensure accurate invoice processing and account reconciliation. A key responsibility will be supporting the implementation and ongoing management of an automated accounts payable system. This position plays a vital role in driving efficiency, accuracy, and innovation in our accounts payable (AP) function through the use of automation tools and technologies.


Key Responsibilities:

  • AP Automation Management: Assist in the implementation and daily operation of accounts payable automation systems to ensure they align with business needs.
  • Invoice Processing: Use automation software to review and match invoices against purchase orders and receiving documents.
  • Data Entry & Record-Keeping: Support accurate data entry and ensure proper document retention, particularly during the automation transition.
  • Reconciliation: Perform regular reconciliations to ensure accurate recording of invoices and payments.
  • Approval Workflow Management: Manage and optimize invoice approval workflows using automation tools.
  • Training & Support: Provide training and ongoing support to AP team members on new systems; assist with troubleshooting as needed.
  • Process Improvement: Identify opportunities to streamline accounts payable (AP) workflows and recommend process enhancements.
  • Reporting & Analytics: Analyze AP data and automation system metrics to identify trends, resolve issues, and improve efficiency.

Required Skills and Qualifications:

  • Associate degree in Accounting required; Bachelor’s degree preferred
  • Strong understanding of accounts payable and general accounting principles
  • Experience with AP or accounting automation systems
  • Proficiency in Microsoft Excel and general computer literacy
  • Excellent problem-solving skills and a continuous improvement mindset
  • Strong communication skills, with the ability to collaborate with both technical and non-technical stakeholders
  • Ability to manage multiple priorities in a fast-paced environment
  • Highly organized with strong attention to detail
  • Team player with a proactive attitude and eagerness to grow professionally
