Job Description
Summary:
Ensure nursing duties are completed; med aid duties, documentation, ordering, medication follow up, appointment scheduling and organization. Write policies as needed. Must be in compliance with state and federal regulations, safety regulations and facility policies. This position is exempt.
Oversees: Building Managers, Activities Manager, Housekeeping, and Nursing Staff
Qualifications: Current Med Aid Certification, South Dakota Assisted Living Administrator Certification
Essential Duties:
- Work hours are generally Monday- Friday business hours but may include evening, weekend, and overnight hours.
- On call rotations/work the floor when needed
- Maintain adequate records and confidentiality of resident and employee information.
- Complete all documentation requirements per state and federal regulations in a prompt and timely manner. Keep records as required by regulations.
- Promote a positive attitude within the facility at all times.
- Ensure communication with family, or POA’s as requested
- Quality Assurance:
- Ensure all nursing QA data is collected and tallied by QA meeting monthly
- Residents in Assistant Administrator Building:
- Distribute resident cash monthly, and as needed
- Ensure care logs are being completed and signed off monthly, and as needed
- If resident is refusing care, follow up and determine why and what we can do to ensure they receive the care they need
- Ensure vitals are completed by the 7th of each month. If vitals are out of normal range for resident, ensure they are taken again.
- MD Communication
- Ensure monthly blood sugar readings are complete and faxed to physician
- Ensure vitals are complete and fax to physician
- Ensure pharmacy consultants are faxed to physicians, and completed
- Ensure labs results are faxed to physicians
- Mandatory Reporting
- Ensure state reports are completed within the set timelines
- Appointments
- Ensure appointments are in QuickMar no less than weekly
- Ensure transportation is set up each week
- Ensure paperwork is ready for resident
- Ordering:
- Ensure VA meds ordered PRN
- Ensure Blood Sugar supplies weekly
- Supply order is sent to administrator weekly (Cole and McKesson)
- Medications
- Ensure new orders for medications are sent to pharmacy daily
- Look for insulin order changes
- Check MAR to ensure change is correct
- Ensure PRN and non-cycle meds are ordered as needed to ensure availability
- Check medication carts bimonthly for open/expired medications, controls to ensure there are enough to get through the weekend.
- Ensure that all meds/insulin are correctly stored, labeled, open/expire dates are present.
- Ensure Mars are updated with physician orders as they are received
- Ensure BS machines are being tested monthly
- Assure vitals are completed monthly by the 7th

- Manage all concerns with residents/resident families, and staff in home building.
- Conduct interviews, coaching, hiring and firing when appropriate
- Create nursing staff schedules and on-call schedules
- Ensure training and competencies are being met
- Spend time with residents and staff to ensure your availability to help and ensure flow of the day is good
- On Call:
- Rotate On-Call time
- Ensure shifts are covered
- Contact staff members to find coverage when needed
- Work where needed if shift not covered
- Answer phone calls from staff regarding resident issues, staff issues, or any other concerns/questions.
- Referrals:
- Communicate with Social Workers, family members, and individuals looking for ALF placement
- Schedule and perform tours of facility
- Ensure all preadmit paperwork is received
- Admissions:
- Ensure all necessary paperwork is completed upon resident admission
- Update ADLs on computer and paper binder with new Resident
- Tear down charts, and file upon resident discharge.
Working Conditions:
- Must be in good physical and mental condition.
- Sits, bends, stoops, stands most of working shift.
Qualifications:
- Attention to detail-must be able to multi-task, prioritize with a focus on attention to detail.
- Self starter-must be able to work independently-is internally motivated to see projects all the way through to completion.
- Possess leadership abilities and willingness to cooperate with residents, staff, family and community members.
- Must be of good moral character, have patience, tact, a cheerful disposition and enthusiasm to be able to work closely with the residents and staff to provide a safe and productive environment.
- Ability to read, write, follow written and oral orders.
- Must possess good communication, team and people skills.
- Must have an understanding of the aging process and be able to relate to work well with the elderly.
- Must be well organized, and posses strong critical thinking skills
Working Conditions:
- Must be in good physical and mental condition.
- Ability to calculate amounts based on general mathematics.
- Sit, hand dexterity, reach with hands/arms, communicate verbally and in writing, stand, walk, lift supplies up to 50 pounds, stoop, kneel, crouch.
