Position Summary:

The Departmental Support Personnel provides administrative and operational support to the Outpatient and Youth & Family Services Department at Lewis and Clark Behavioral Health. This role is essential in ensuring efficient departmental operations, supporting clinicians and staff, facilitating communication, maintaining compliance with accreditation standards, and assisting with the coordination of department activities and events.

Key Responsibilities:

  • Answer and direct phone calls, emails, and other communications in a professional and timely manner.

  • Manage departmental calendars, including scheduling for clinicians and department staff.

  • Prepare, format, and distribute reports, forms, and documentation as needed.

  • Assist with maintaining accreditation compliance by monitoring required documentation and reporting.

  • Support onboarding and orientation processes for new staff within the department.

  • Ensure accurate and timely data entry and recordkeeping in alignment with agency and regulatory standards.

  • Coordinate departmental meetings, staff training, and events, including scheduling, preparation of materials, and logistics.

  • Collaborate with clinical and administrative teams to ensure continuity of care and efficient department operations.

  • Assist with departmental projects and initiatives as assigned by the supervisor.

  • Monitor and order office supplies and materials for departmental needs.

  • Support efforts to improve workflows, communication, and client service delivery.

  • Handling sensitive information with discretion and professionalism.

Qualifications:

  • High school diploma or equivalent required; associate degree or higher preferred.

  • Proficiency in Microsoft Office Suite and electronic health record (EHR) systems.

  • Excellent organizational, communication, and interpersonal skills.

  • Ability to handle sensitive information with discretion and professionalism.

  • Strong multitasking skills and attention to detail.

  • Compassionate and patient-centered approach to service.
