Job Description

POSITION SUMMARY:

Responsible for all HR functions such as onboarding, benefit administration, and personnel file management. Work with administration equally to assist department heads to plan, direct, and coordinate personnel activities of Bowdle Healthcare Center for employee competencies, recruitment, employee remediation and disciplinary procedures. Also responsible for the Health Information Management department. Maintains and secures all written and electronic medical records. Ensures that the information contained in the record is complete and accurate and available only to authorized personnel. Facilitates flow of health information to those who depend on it and have a right to it. Assists in protection of the legal interests of the patient, hospital and provider. Coordinates Risk Management Program and oversees the administration of workers’ compensation. Acts as Medical Staff secretary. Completes all facility credentialing processes with insurance companies and providers. Assists CEO and CFO with projects.

REQUIREMENTS AND QUALIFICATIONS:

Education: High School Graduate with college education preferred.

License/Certification: None.

Experience: 3-5 years of management experience preferred.

DUTIES AND RESPONSIBILITIES:

  1. Review records for completeness, and ensure accuracy and compliance with department policies and procedures and State Health Department regulations.
  2. Assist medical staff with completion of medical record.
  3. Maintain census records and complete monthly statistical reports.
  4. Schedule and prepare for medical staff meetings (including P&T, JCC), department head and employee meetings and maintain minutes of all meetings.
  5. Compile monthly medical staff reports (deaths, tissues, and transfusions).
  6. Compile records for peer review per Medical Staff Bylaws.
  7. Perform credentialing of new providers, as needed, and reappointments of providers every two years.
  8. Complete initial insurance enrollments and revalidation applications for providers and facility.
  9. Provide required information to Avera for completion commercial insurance credentialing applications for providers and facility (initial and reappointment).
  10. Revise and renew hospital policies as necessary to maintain adherence to current standards and requirements. Screen policies for potential liability problems.
  11. Maintain risk management statistics and files in compliance with hospital, state, and federal guidelines. Insure maximum confidentiality of such information.
  12. Report quarterly to the Quality Council on annual goals within Administration.
  13. Submit Worker’s Compensation report forms to carrier in timely manner. Follow-up with WC carrier concerning open cases. Maintain contact with injured employees/provider. Maintain accurate OSHA logs. Report to Department of Labor when required.
  14. Maintain facility personnel records insuring that they are complete according to facility, federal and state guidelines.
  15. Exercise general management of the department. General management is defined as including, but not limited to: following all laws, regulations, policies, procedures, etc. that apply; maintaining a sound working relationship both within the department and with other departments of the organization; maintaining safety of all and high standards of patient care; reporting any unusual or irregular activities, actions, situations, etc to the Administrator; and completing all department supervisor responsibilities assumed at Bowdle Healthcare.
  16. Complete state license applications for hospital and nursing home annually.
  17. Complete facility professional and general liability, property, workers compensation and directors and officer’s renewal applications annually.
  18. Perform new employee onboarding to include facility policies, benefits, etc. Act as COBRA administrator for group insurance.
  19. Oversee job evaluations and work directly with the department head and employee to create any identified changes that must be made to provide quality patient care in an environment that is clean, organized and meeting all regulations.
  20. Perform Stay and Exit interview with employees.
  21. Complete annual salary and benefit surveys.
  22. Must have the ability to work independently and effectively manage time.
  23. Proficiency with Microsoft products and computer skills needed to perform job.
  24. Other tasks as deemed necessary by CEO and CFO.
