TITLE: Early Childhood Assistant Director

REPORTS TO: Early Childhood Center Director

CLASSIFIED: Full Time, Exempt

LOCATION: Brookings, SD

BONUS: $5,000 Hiring Bonus Paid in Three Installments

JOB SUMMARY: The Assistant Director of Childcare supports the daily operations of the childcare program by ensuring compliance with licensing regulations, maintaining accurate records, coordinating staff schedules, overseeing staff timekeeping, and assisting in the supervision of employees. The Assistant Director works closely with the Director to maintain a safe, nurturing, and high-quality learning environment for children while supporting staff and family needs.

KEY RESPONSIBILITIES:

Program Operations

  • Assist the Director in the day-to-day management of the childcare program.
  • Ensure compliance with all state licensing regulations, health and safety requirements, and organizational policies and procedures.
  • Provide leadership and support to teaching staff to promote high-quality childcare services.
  • Act as Director in the Director's absence as assigned.

Records and File Maintenance

  • Maintain accurate and confidential files for children, families, and staff.
  • Ensure enrollment records, immunization records, attendance records, incident reports, and required documentation are complete and up to date.
  • Monitor file compliance and notify appropriate staff or families of missing or expired documentation.
  • Organize and maintain electronic and paper records in accordance with licensing and organizational requirements.
  • Prepare files and documentation for inspections, audits, and licensing reviews.

Staff Scheduling and Coverage

  • Develop and maintain staff schedules to ensure appropriate classroom coverage and compliance with staff-to-child ratios.
  • Coordinate substitute staffing and classroom coverage during employee absences.
  • Adjust schedules as needed to meet operational and program needs.
  • Communicate schedule changes promptly and effectively with staff.
  • Monitor staffing levels and recommend adjustments to improve efficiency and program quality.

Timekeeping and Payroll Support

  • Oversee employee timekeeping and attendance records.
  • Review, verify, and approve staff timesheets for accuracy and completeness.
  • Monitor employee attendance, leave requests, overtime, and schedule adherence.
  • Maintain accurate records of vacation, sick leave, and other staff absences.
  • Collaborate with payroll and administration to ensure timely and accurate processing of employee hours.
  • Address timekeeping discrepancies and communicate corrective actions as needed.

Staff Supervision and Support

  • Assist in recruiting, onboarding, and training new employees.
  • Provide guidance, coaching, and support to teaching staff and classroom assistants.
  • Monitor staff performance and provide feedback to promote professional growth.
  • Support the implementation of policies, procedures, and best practices.
  • Foster a positive, respectful, and collaborative work environment.

Family and Community Relations

  • Assist families with enrollment and program information.
  • Respond professionally to parent questions and concerns.
  • Support family engagement activities and program events.

ACCOUNTABILITY:

  • Accountable for maintaining accurate and confidential records.
  • Accountable for ensuring staff schedules provide adequate coverage and compliance with licensing requirements.
  • Accountable for the accuracy of employee timekeeping and attendance records.
  • Accountable for supporting operational efficiency, program quality, and staff performance.
  • Accountable for maintaining professionalism and confidentiality in all aspects of the position.

EMPLOYMENT QUALIFICATIONS:

  • Associate's or Bachelor's degree in Early Childhood Education, Child Development, Business Administration, or a related field preferred.
  • Experience in childcare administration, supervision, or program management preferred.
  • Knowledge of childcare licensing regulations and requirements.
  • Strong organizational, communication, and interpersonal skills.
  • Proficiency in computer systems, scheduling software, and record-keeping systems.
  • Ability to maintain confidentiality and manage multiple priorities effectively.

PHYSICAL QUALIFICATIONS:

  • Ability to work in an active childcare environment.

  • Ability to move throughout the childcare facility and classrooms.
  • Ability to lift up to 30 pounds as necessary.
  • Ability to respond quickly to emergencies and supervise children in various settings.
  • Ability to provide ratio coverage in classrooms when needed.
