Enrollment Coordinator

Reports To: Senior Director, Early Childhood | Shared oversight of Center Directors on enrollment matters

Location: Admin

Classification: Full-Time | Hourly, Non-Exempt

Compensation: $21-23.50

Job Summary

The Enrollment Coordinator provides organization-level enrollment leadership across all Clubhouse ECE sites. This role manages the full enrollment pipeline, guides Center Directors on enrollment strategy, ensures compliance with licensing paperwork, and serves as the primary point of contact for families entering the program.

Duties & Responsibilities

  • Manages all enrollment inquiries, family tours, and new enrollment processing across all sites
  • Maintains waitlists, priority enrollment processes, and cross-site family transfer coordination
  • Guides Center Directors on enrollment strategy, capacity goals, and family conversion
  • Coordinates subsidy and scholarship intake, including DHS childcare assistance and organizational scholarships
  • Prepares and distributes family onboarding packets and enrollment documentation
  • Tracks monthly enrollment data and prepares attendance projections for all sites
  • Manages compliance for childcare licensing paperwork across all BGCNP ECE sites
  • Maintains the Raptor Visitor Management System enrollment records
  • Communicates priority enrollment timelines and policies to families and staff
  • Supports Center Directors with enrollment-related reporting and data analysis
  • Coordinates with the Family Advocate on family support needs identified during the enrollment process

Qualifications & Education

  • Associate's degree or higher in Business, Early Childhood Education, Human Services, or related field preferred
  • Minimum 2 years of experience in childcare enrollment, administrative coordination, or related field
  • Knowledge of DHS childcare subsidy programs and childcare licensing requirements preferred
  • Strong organizational and data management skills
  • Proficiency in Microsoft Office and enrollment management systems
  • Excellent written and verbal communication skills with diverse families
  • Commitment to equitable access and family-centered enrollment practices

Physical Requirements

  • Primarily office-based with regular visits to all ECE sites
  • Ability to sit for extended periods while completing administrative work
  • Ability to travel between BGCNP sites as needed
  • This position is considered to be safety-sensitive.
