TITLE: Early Childhood Enrollment Manager

REPORTS TO: Senior Director of Early Childhood Enrichment

CLASSIFIED: Full-Time, Non-Exempt

LOCATION: Administrative (Eligible for Remote Work)

JOB SUMMARY: The Enrollment Manager provides organization-level enrollment leadership across all Clubhouse Early Childhood Enrichment Center sites. Under the direction of the Senior Director of Early Childhood, this role manages the full enrollment pipeline from parent inquiry to first day of attendance, coordinates family engagement with site leadership, and serves as the primary driver for all pre-enrollment paperwork as required by licensing and compliance. This position works directly with the Senior Director and marketing team to ensure programs maintain full enrollment and meet appropriate enrollment benchmarks. This is a project management position that does not work directly in Clubhouse sites and is eligible for remote work.

KEY RESPONSIBILITIES:

  • Manages all enrollment inquiries and processes new enrollment across all sites.
  • Performs data entry and tracking throughout the enrollment lifecycle, from parent inquiry to first day of attendance.
  • Works directly with the Senior Director and marketing team to ensure programs stay full and meet enrollment benchmarks.
  • Coordinates family tours with Assistant Directors or Center Directors.
  • Serves as the primary driver for all pre-enrollment paperwork as required by licensing and compliance.
  • Maintains waitlists, priority enrollment processes, and cross-site family transfer coordination.
  • Coordinates subsidy and scholarship intake, including DSS childcare assistance and organizational scholarships.
  • Prepares and distributes digital family onboarding packets and enrollment documentation.
  • Tracks monthly enrollment data and prepares attendance projections for all sites.
  • Communicates priority enrollment timelines and policies to families and staff.
  • Supports Center Directors with enrollment-related reporting and data analysis.
  • Identifies family support needs during the enrollment process and communicates those needs with appropriate agencies.

EMPLOYMENT QUALIFICATIONS:

  • Associate's degree or higher in Business, Early Childhood Education, Human Services, or related field preferred.
  • Minimum 2 years of experience in childcare enrollment, administrative coordination, or related field.
  • Knowledge of South Dakota DSS childcare subsidy programs and childcare licensing requirements preferred.
  • Strong organizational and project management skills.
  • Proficiency in Microsoft Office and enrollment management systems.
  • Excellent written and verbal communication skills with diverse families.
  • Commitment to equitable access and family-centered enrollment practices.

PHYSICAL REQUIREMENTS:

  • Administrative position eligible for remote work with periodic visits to Clubhouse Early Childhood Enrichment Center sites as needed.
  • Ability to sit for extended periods while completing administrative work.
  • Ability to travel between BGCNP sites as needed.
  • This position is considered to be safety-sensitive.
