The Catholic Community Foundation for Eastern South Dakota (CCFESD) is seeking an energetic and detail-oriented Event Coordinator to join our dynamic team! This is an exciting opportunity to combine your organizational talents with meaningful work that supports the ministries of the Diocese of Sioux Falls and its 122 parishes.
As our Event Coordinator, you'll play a vital role in bringing our annual portfolio of charity events to life—from the Gift of Hope Concert and Bishop's Charity Fishing Tournaments to Taste the Goodness, Christmas at the Cathedral, and more! About the Role
The Event Coordinator provides comprehensive administrative, logistical, and operational support for CCFESD's annual charity events. You'll ensure seamless execution through meticulous data management, clear communications, efficient financial processing, and outstanding on-site coordination. This position requires flexibility, resourcefulness, professionalism, and genuine enthusiasm for serving others.
Key Responsibilities Include:
Database & Financial Management
• Maintain comprehensive event data using Foundant database system
• Process registrations, sponsorships, payments, and daily deposits
• Execute monthly invoicing and post-event tax receipting
• Produce event-related reports and financial reconciliations
Communications & Donor Stewardship
- Execute participant communications including confirmations, ticketing, and post-event correspondence
- Assist with recruiting event participants through phone outreach
- Provide welcoming, service-oriented support to all guests and constituents
Committee & Administrative Support
- Provide end-to-end support for event committee meetings
- Prepare agendas, manage Zoom meetings, and distribute minutes
- Coordinate travel, lodging, and logistics for staff and performers
Event Logistics & On-Site Execution
Oversee on-site registration, guest flow, and day-of event operations
Coordinate with vendors, secure venues, and manage event logistics and décor
Event Portfolio Support
Support the planning and execution of major annual fundraising events including:
- The Gift of Hope Concert (for the benefit of The Lourdes Center)
- The Bishop's Charity Fishing Tournaments (at Big Stone Lake and Lake Oahe for the benefit of Seminarian Education)
- The Bishop Charity Golf Classic (in Sioux Falls for the benefit of Broom Tree Retreat Center)
- Taste the Goodness (in Sioux Falls for various beneficiary ministries)
- The Bishop's Hunt (for the benefit of Seminarian Education)
- Notre Dame Football Experience Raffle (for the benefit of Seminarian Education)
- Christmas at the Cathedral (for the benefit of various ministries)
What We're Looking For:
Essential Qualifications:
- Baptized and Confirmed Catholic with willingness and ability to effectively make known the Catholic Church's teachings and act as an outstanding personal witness to the Catholic faith
- Meticulous attention to detail and data accuracy
- Strong event coordination and project management experience
- Excellent proficiency with Microsoft Office Suite
- Outstanding written and verbal communication skills
- Ability to multitask, adapt to shifting priorities, and solve problems in real time
- High energy, positive attitude, and collaborative team spirit
- Commitment to confidentiality and professional excellence
Preferred:
- Working knowledge of non-profit organizations
- Experience with database and spreadsheet management
- Familiarity with Eastern South Dakota geography
Position Details:
• Status: Full-Time, Hourly, Benefit Eligible (Non-Exempt)
• Reports to: Director of Special Events
• Schedule: Requires flexibility for extended hours during events, including evenings, weekends, and occasional overnight travel for out-of-town events
