Job Schedule: 8-4:30 (some evenings when needed)

Weekly Hours: 40

Statement of Purpose:

The Administrative Assistant to the CEO provides high-level administrative support to the Chief Executive Officer by managing schedules, handling correspondence, preparing reports, coordinating meetings, and ensuring efficient day-to-day operations. This role requires discretion, professionalism, and exceptional organizational skills to support executive-level decision-making.

Key Responsibilities:

  1. Manage the CEO’s calendar, including scheduling meetings, appointments, and travel arrangements.

  2. Serve as a gatekeeper by screening and prioritizing incoming requests, emails, and phone calls.

  3. Coordinate internal and external meetings, including preparing agendas, taking minutes, and tracking action items.

  4. Prepare confidential reports, presentations, and communications on behalf of the CEO.

  5. Handle sensitive information with a high degree of confidentiality and professionalism.

  6. Liaise with senior leadership, physicians, board, and community members on behalf of the CEO.

  7. Assist with the preparation and coordination of board meetings and executive-level communications.

  8. Maintain organized filing systems, both digital and physical.

  9. Monitor and manage special projects as assigned by the CEO.

  10. Perform general administrative tasks including expense reporting, document management, and office coordination.

Job Requirements:

  1. Minimum of a two-year degree in office management or similar degree. Two years of executive secretarial experience preferred.

  2. Must be highly proficient in typing and word processing.

  3. Must have in-depth knowledge of organization, relationships and key personnel of a hospital.

  4. Must have thorough knowledge of correct office procedures, English grammar, spelling and punctuation.

  5. Ability to work independently without supervision on administrative and medical staff tasks and to make decisions within the framework of departmental policies and hospital and medical staff bylaws.

  6. Ability to follow complex instructions.

  7. Considerable verbal and written capabilities.

  8. Supervisory ability.
