REQUIREMENTS

EDUCATION LEVEL:

College Degree

EXPERIENCE REQUIRED:

3-5 years' administrative support experience

PHYSICAL REQUIREMENTS:

Constant hand-eye/mind-eye coordination, hearing; frequent keyboarding, use of wrists, hands, fingers, speaking, writing, filing, sitting, standing and walking

OTHER REQUIREMENTS:

Exceptional written and verbal communication skills. Strong organizational and time-management skills with attention to detail. Ability to handle multiple priorities in a fast-paced environment. Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint), OneDrive, Google Docs, Teams, School Board Portal: Sparq/Quorum, and other relevant tools. Professional demeanor and ability to interact with diverse individuals at all levels. High level of integrity and discretion in handling confidential information. Ability to take initiative and be self-directed.

POSITION SUMMARY

The Executive Assistant provides high-level administrative support to the executive team, serving as a trusted point of contact and ensuring the efficient operation of daily activities. This role demands exceptional organizational, communication, and problem-solving skills, along with the ability to handle sensitive and confidential information with the utmost discretion.

ESSENTIAL FUNCTIONS & DUTIES

Executive Support

  • Serve as the primary administrative assistant to the Superintendent, providing high-level executive support.
  • Manage and maintain the Superintendent's calendar, including scheduling meetings, appointments, and travel arrangements.
  • Assists superintendent in preparing meeting materials including agendas, documentation, and presentations.
  • Monitor and manage email and phone correspondence, prioritizing and responding to communications as appropriate.
  • Compose, edit, and manage correspondence, presentations, reports, and other official documents originating from the Superintendent's office.
  • Collaborate with the Finance Department on expense reporting, membership management, and related administrative tasks.

School Board Engagement

  • Coordinate all communication between the Superintendent and School Board members, ensuring timely, accurate, and professional correspondence.
  • Prepare and distribute weekly materials and Board Reports for School Board meetings.
  • Coordinate responses to Board member requests and serve as a key point of contact for inquiries.
  • Support the onboarding process for new School Board members, including scheduling, orientation, and access to necessary systems.
  • Collaborate with internal departments to compile information required for Board presentations and reports.
  • Maintain confidentiality and professionalism in all Board-related interactions.

Meeting and Event Coordination

  • Schedule, attend, and document key leadership and administrative meetings, including minutes and follow-up actions.
  • Coordinate logistics for meetings, retreats, and events initiated by the Superintendent's office, including administration meetings and legislative engagements.
  • Plan and oversee logistics for high-level gatherings and special events upon request of the Superintendent.

Stakeholder Engagement

  • Act as a liaison between the Superintendent and internal/external stakeholders, ensuring timely and effective communication.
  • Facilitate communication between the Superintendent's office and district leadership, supporting collaboration and responsiveness.

Project and Task Management

  • Support the Superintendent in managing special projects and strategic initiatives.
  • Monitor deadlines and ensure timely execution of assigned tasks and deliverables.
  • Take initiative in identifying and resolving administrative challenges.
  • Manage multiple projects and competing priorities with efficiency and accuracy.

Additional Duties

  • Monitor the district radio for emergency communications and respond per protocol.
  • Provide support to other executives and leadership team members as needed.
  • Demonstrate flexibility and collaboration in a dynamic, fast-paced environment.
  • Other duties as assigned.

PAY INFORMATION

Starting at $68,150 to $81,914, depending on experience

Pay Day: Last working day of each month.

HOURS & FTE

Monday through Friday, 8:00 am to 5:00 pm with a 1-hour unpaid break.

Occassional evening hours for special events.

1.0 FTE, 40 hours per week, 12 months
