Job Summary:
We are looking for a highly skilled and organized Executive Personal Assistant to support a dynamic and accomplished business leader. As an Executive Assistant, you will play a key role in ensuring smooth day-to-day operations by managing schedules, coordinating meetings, handling correspondence, and assisting with various projects. This position is ideal for someone who is resourceful, detail-oriented, and thrives on challenges while maintaining a calm and professional demeanor. Frequent travel and flexibility for non-traditional work hours are key components of the role.
Key Responsibilities
- Provide comprehensive administrative support to an executive, including handling correspondence, preparing reports, and creating presentations, often of a confidential or complex nature.
- Manage the executive’s professional and personal scheduling, including extensive calendar management, organizing meetings, and logistics for company and private events.
- Maintain records of the executive’s business and personal ventures.
- Arrange for meeting rooms or facilities and ensure all necessary arrangements are in place.
- Prepare and submit expense reports on behalf of the executive, as appropriate.
- Participate in and contribute to special projects as directed by the executive.
- Build and maintain professional relationships with key contacts, including clients, partners, employees, and other stakeholders.
- Act as a liaison between the executive and various teams, ensuring clear communication and follow-up while managing expectations.
- Maintain confidentiality of sensitive information.
- Handle complex issues and problems independently.
- Assist with errands and personal tasks for the executive as needed.
- Ensure the executive’s day runs smoothly by providing logistical and practical support.
Travel Management
- Organize and coordinate travel arrangements, including flights, accommodations, itineraries, and logistics.
- Accompany the executive on business trips as needed, providing on-the-ground coordination and support.
- Adapt quickly to changing travel schedules and manage unforeseen challenges effectively.
