Job Description

Divine Mercy Pastorate, which includes the parishes of Christ the King, St Mary and St John Paul II in Sioux Falls is seeking an Executive Assistant.

As lifelong Catholic missionary disciple, the Executive Assistant will incorporate a personal expression of the Bishop’s vision of being a lifelong Catholic missionary disciple through God’s love. Goals of the position include creating and maintaining the master calendar for the pastorate, especially appointment scheduling for the clergy, while factoring in the sacramental and liturgical year to assist in the scheduling of pastorate events. In addition, goals encompass enhancing a welcoming and uplifting experience for our guests, parishioners, and internal team members. We place a high value on radical hospitality and excellence in ministry.

This full-time position will take direction from the Clergy and Members of the Leadership Team and report directly to the Business Manager.

Executive/Administrative Duties and Responsibilities:

  • Be the face of our pastorate at the front desk while providing an exceptional customer service experience during telephone calls and walk-in requests, utilizing technology software, where applicable.
  • Creates/Maintains the master calendar and assists with the clergy scheduling, including liturgical and sacramental scheduling.
  • Assists with maintaining accurate parishioner and sacramental information in our system of record (Ministry Platform software).
  • Assists with access management software and enters event information into the software.
  • Assists with maintaining external facility rental agreements, fees, and scheduling.
  • Provides administrative support to internal teams.
  • Prepares correspondence, including writing, editing, and using mail merge.
  • Maintains/sells school gift cards.
  • Opens, distributes, sorts, and stamps mail and other correspondence.
  • Helps support Pastorate events.
  • Assists with Mass attendance records and Mass intention requests.
  • Participates in staff enrichment and development activities, as well as in monthly Mass and brown-bag luncheons.


Qualifications:

Primary

  • Must be a practicing Catholic and have the willingness and ability to effectively make known the Catholic Church’s teachings through the varied ministry activities expected of this position.
  • Willingness and ability to act as an outstanding personal witness to the Catholic faith and religion by living both one’s professional and personal life in accordance with the doctrines and moral teachings of the Roman Catholic Church.

Education/Experience

  • Bachelor's degree and/or experience in business, communications, or a related field.
  • Related experience and familiarity with most aspects of the Catholic Church.

Required Knowledge, Skills, and Abilities:

  • Proficiency in scheduling and office software, like Google and Microsoft Office Suite, Mail Merge etc.
  • Outstanding verbal and written communication skills.
  • Strong attention to detail.
  • Excellent organizational skills.
  • An understanding and working knowledge of the sacramental and liturgical year
  • Engaged, active team member with great interpersonal skills.
  • Ability to work independently and in a team-oriented, collaborative environment to think strategically, multitask, and conform to shifting priorities, demands, and timelines.
  • Proven communication skills and ability to work effectively with a wide range of individuals while maintaining strict confidentiality.
