    About the practice

    We are a smaller established private practice with a few mental health providers providing both medication management and counseling/therapy. This is a role that the person would have a lot of autonomy and for this reason experience is welcomed, but not necessary as on the job training is available. Will work mostly in clinic but some opportunity to work from home on a necessary basis. Currently looking for part time 20 hours per week with quick advancement to full time in near future. Hour flexibility possible during work week but will be based mostly on provider needs.

    Position overview

    • Your role: As the first point of contact, you will play a crucial role in creating a welcoming and supportive environment for our clients and providing provider support.
    • Key functions: You will be responsible for managing front office operations, providing administrative support, ensuring the smooth flow of daily practice operations, scheduling, answering phones, calling clients back, calling insurance companies for insurance claims, and posting insurance and client payments.

Job Requirements
Patient interaction:
- Serve as the first point of contact for clients via phone, email, and in-person interactions.
- Warmly greet patients and manage the check-in and check-out process efficiently.
- Schedule and confirm patient appointments, including new client intake sessions.
- Respond to client inquiries with sensitivity and professionalism.

Administrative duties:
- Manage and maintain the appointment calendar, including rescheduling and session confirmations.
- Answer and route incoming calls in a friendly and professional manner.
- Organize and file all patient paperwork and electronic documentation.
- Maintain the waiting and common areas, ensuring they are clean and organized. Will include light cleaning duties.

Billing and records:
- Collect and verify patient information, including insurance details.
- Assist with billing and insurance claims submission.
- Ensure compliance with HIPAA regulations regarding patient confidentiality.
- Process payments and handle basic billing inquiries.

Support for providers:
- Support clinicians with administrative needs such as scanning documents and updating electronic health records (EHR).
- Coordinate referrals to other providers as needed.
