Job Description

Job Flow Coordinator/Admin – Complete Fence | Sioux Falls Area (In-Office)

Control the Flow. Protect the Standard. Create Happy Customers.

This is not just an admin role.
This is a role that keeps our company running smoothly.

Complete Fence is expanding — and we’re building a driven, high-performing team to match.

For over a decade, we’ve served Sioux Falls and the surrounding communities with one mission: do what we say, and do it exceptionally well.

We’re not just growing — we’re being recognized for it.

2025 PRO Award Winner from the American Fence Association

That means our field performance is elite.
Now we’re building operations that match it.

We’re building projects.
We’re building our team.
We’re building our community.
And we’re building leaders.

If you want to be part of a company that’s leveling up — this is your opportunity.

The Role: Job Flow Coordinator

This is the communication and coordination hub of our operation.

You don’t just answer phones.
You create clarity.

The Job Flow Coordinator helps guide customers through the process while keeping our crews and estimators protected from last-minute chaos. You’ll help ensure each job moves cleanly from first contact ? completion.

You create predictability.
You protect standards.
You help create happy customers.

What You Will Own

Inbound Lead Control & Customer Experience

  • Answer inbound calls live during business hours

  • Respond to online and email leads quickly and professionally

  • Enter all leads accurately into our CRM

  • Pre-qualify customers before scheduling estimates

  • Schedule only qualified appointments

  • Represent Complete Fence with professionalism, confidence, and respect

You control the front door.
Not every lead becomes an appointment.
You protect our team’s time — and our customers’ experience.

Job Flow, Scheduling & Team Coordination

  • Manage jobs from Sold ? Ready ? Scheduled ? Installed

  • Ensure paperwork, and all job requirements are complete before scheduling installs

  • Coordinate crews, materials, and vendors

  • Balance the install schedule weeks in advance

  • Help enforce install readiness standards (go / no-go decisions)

  • Collaborate closely with estimators, field crews, and leadership

We don’t run reactive.
We run prepared.

Your role helps ensure customers feel informed and confident — and our crews show up ready.

Problem Solving & Ownership

  • Resolve day-to-day issues independently

  • Escalate higher-risk issues appropriately

  • Take ownership of problems and drive them to resolution

  • Serve as the first line of defense against daily operational noise

You don’t pass problems around.
You solve them.

You protect the field from unnecessary friction.
You protect customers from confusion and delays.

A Note About This Role (Important)

This is a new position, which means you won’t be walking into a perfectly scripted system.

Early on, the role may feel heavier on coordination and administrative execution.

But the right person will quickly begin shaping the systems, building consistency, and bringing stronger operational control into the company.

If you like structure and love creating it — you’ll thrive here.

What Success Looks Like

  • Predictable, balanced schedules

  • Fewer last-minute reschedules and emergencies

  • Accurate job documentation and clean handoffs

  • Smooth communication between customers, estimators, and crews

  • Reduced interruptions to ownership and leadership

  • Positive feedback from both customers and installers

  • A calm, controlled operations environment

When this role is executed well, the entire company performs better.

Who Thrives Here?

You thrive here if you are:

  • Driven and highly organized

  • A strong communicator (written and verbal)

  • Structured and disciplined

  • Calm under pressure

  • Decisive but respectful

  • Detail-oriented without losing big-picture awareness

  • Comfortable using technology, CRMs, and digital systems

  • Aligned with accountability, teamwork, and excellence

You don’t ignore small errors — you fix them early.
You don’t allow standards to drift — you reinforce them.
You don’t wait for direction — you take ownership.

Experience in construction, scheduling, operations, or customer service is preferred.
CRM experience is a plus.

Growth & Advancement

We are growing — intentionally.

That means:

  • Clear expectations and defined authority

  • Hands-on training and real skill development

  • Increased responsibility as we scale

  • The opportunity to shape systems and processes

  • Career growth into higher operations leadership roles

We’re not building average systems.
We’re building a performance culture.

If you can create control, consistency, and clarity — there is room to grow with us.

Why Complete Fence?

We’re building:
