The Leave Programs Coordinator assists in the administration of employee leave programs including the Family and Medical Leave Act (FMLA), Paid Family Leave (PFL), Paid Family Medical Leave (PFML), Military Leave, and Short-Term Disability (STD). This position ensures compliance with Federal, State, and Local regulations and serves as a primary point of contact for leave-related inquiries. The role provides employees with information regarding their leave rights, benefits, and responsibilities and guides them through the leave process.

What you will do:
  • Coordinate FMLA, PFL, and PFML programs in accordance with applicable laws and policies.
  • Serve as the point of contact for employee questions regarding FMLA, PFL, and PFML.
  • Determine eligibility for FMLA, PFL, and PFML.
  • Work with the Human Resource Business Partners to provide employees and supervisors with information on rights and responsibilities under FMLA, PFL, and PFML while ensuring confidentiality of medical information.
  • Provide required leave forms, process medical certifications and recertifications, and ensure completion of all required documentation within established deadlines.
  • Monitor active leave cases; maintain communication with employees on leave and accurately track FMLA, PFL, PFML, and accrued leave usage.
  • Prepare and maintain leave utilization reports.
  • Collaborate with the Employee Health Office for the return-to-work process.
  • Collaborate with the Benefits team to help support the administration of the Short-Term Disability program; respond to inquiries, assist to coordinate information with third party administrators, and track STD eligibility.
  • Maintain confidential employee leave files in accordance with HIPAA and privacy guidelines; manage file creation, maintenance, and archiving.
  • Prepare communications related to exhaustion of FMLA, PFL, or PFML and advise employees on available benefits.
  • Perform accurate and timely HR data entry related to employee leave and status changes.
  • Support benefit eligibility monitoring and communicate employee status changes to stakeholders.
  • Assist in developing and revising department forms and documentation used enterprise wide.
  • Respond to employee inquiries regarding leave benefits and wellness programs.
  • Contribute to training and presentations as needed.
  • Perform other duties as assigned.

The Ideal Candidate Will Have:

Knowledge of:

  • Federal, State, and Local legislation related to employee benefits;
  • HR, FMLA, PFL, and PFML regulations and procedures.


Skills:

  • high attention to detail, accuracy, initiative, and organizational skills;
  • strong verbal and written communication skills;
  • proficiency with databases and Microsoft Office (Word, Excel, Outlook).


Ability to:

  • maintain confidentiality and security of sensitive information;
  • develop effective working relationships with coworkers, employees, and the boarder Human Resources Team;
  • plan, organize, prioritize, and manage changing workloads;
  • work independently and collaboratively;
  • use standard office equipment;
  • maintain regular and punctual attendance.
