About the Role
Leads the daily operations of the Loan Services team, ensuring regulatory compliance, operational efficiency, and continuity of service. Combines leadership with hands-on expertise in system administration, vendor oversight, audit coordination, and regulatory reporting. Serves as a subject matter expert in loan services processes, systems, bank policy, and compliance.

Job Duties and Responsibilities 

  • Essential duties and responsibilities include the following. Other duties may be assigned.
    • Oversees the daily operations of the Loan Services team and assumes responsibilities as needed to ensure task coverage and workflow continuity. Establishes clear performance expectations aligned with departmental goals to drive efficiency, compliance and regulatory expectations. Monitors department’s key performance indicators.
    • Supports employee development through coaching, evaluations, and training, while promoting effective communication through regular team engagement. Interviews, hires, and trains new staff. Provides constructive and timely performance reviews. Handles discipline and termination of employees in accordance with company policy.
    • Develops and updates departmental procedures and documentation. Review processes and implement new methods for improving efficiencies.
    • Coordinates audit documentation and responses. Maintains accurate records to support internal controls and responds to examiner inquiries. Continuously builds regulatory expertise through ongoing training and engagement with industry resources and internal Compliance and Audit resources.
    • Manages system administration functions, including access management, reporting, business continuity testing, and vendor due diligence. Configures applications parameters and system processes to align with operational needs and efficiency goals.
    • Serves as a subject matter expert by continuously expanding system knowledge through vendor collaboration, training, and engagement with user communities.
    • Plays a critical role in testing new software versions and enhancements, offering recommendations for implementation based on functionality, usability, and business impact. Collaborates with IT and vendors to resolve issues identified during testing and ensures that system updates are implemented.

Skills and Qualifications

  • Effectively prioritizes and manages multiple responsibilities.
  • Proactively looks for common ground when conflicts arise. Anticipates challenges and works to settle differences while maintaining the relationship in a professional way.
  • High school diploma or equivalent is required; post-secondary education is preferred.
  • Proficient in Microsoft Office and general computer literacy is required.
  • 3–5 years of loan services experience is preferred.
  • 3–5 years of leadership or supervisory experience is preferred.
  • Basic understanding of banking concepts is preferred.
