Job Summary: The Office Support Lead is a dynamic, people-centered role responsible for creating a warm, welcoming, and highly functional office environment. This individual takes full ownership of the physical workspace—from watering plants and maintaining supplies to ensuring the fridge is clean and the candy jar is full. In addition to managing the day-to-day office experience, this role provides high-level administrative support to the COO, CFO, and HR Director, and serves as a permanent member of the Culture Crew, helping to shape and sustain a vibrant, values-aligned workplace culture.

Hours: A typical workweek is Monday through Friday from 8:00AM to 5:00PM, actual working hours and days may vary due to project deadlines; May require weekend or evening work at times.

Compensation: Starting at $25.00 per hour

Key Responsibilities/Accountabilities:

  • Executive Administrative Support

    • Provide administrative support for the COO, CFO, and HR Director.

    • Prepare documents, presentations, and reports as needed.

    • Serve as a liaison between executives and internal/external stakeholders.

    • Maintain confidentiality and professionalism in all communications.

  • Office Environment Ownership

    • Maintain a clean, organized, and inviting office space.

    • Ensure common areas are clean and stocked.

    • Manage aesthetics and ambiance to reflect company values and culture.

    • Monitor and replenish kitchen and office supplies.

    • Coordinate preventative maintenance and vendor services.

    • Set up and breakdown of training room for scheduled events and/or meetings.

  • Culture and Team Engagement

    • Actively contribute to the Culture Crew as a permanent member.

    • Plan and execute team events, celebrations, and recognition activities.

    • Circulate birthday cards and coordinate culture-related supplies and logistics.

  • Reception and Front Desk Leadership

    • Serve as the first point of contact for guests and new hires.

    • Manage the office phone system and ensure coverage during absences.

    • Welcome visitors with warmth and professionalism.

  • Onboarding and Internal Communications

    • Coordinate onboarding logistics and welcome experiences for new hires.

    • Maintain employee directories, contact sheets, and bulletin boards.

    • Distribute internal updates, announcements, and recognition messages.

    • Support HR with documentation and training coordination.

  • Process Documentation and Continuous Improvement

    • Maintain and update administrative process documentation.

    • Identify and implement workflow improvements.

    • Train staff on procedures and gather feedback for ongoing enhancements.

Required Skills & Qualifications:

  • Minimum of 5 years of professional experience in office administration, or related roles.
  • At least 3 years of direct executive support experience (supporting C-suite or senior leadership).
  • Proven ability to manage office operations, vendor relationships, and workplace logistics.
  • Strong organizational, multitasking, and problem-solving skills.
  • Excellent written and verbal communication abilities.
  • Demonstrated discretion and professionalism in handling confidential information.
  • Proficiency with office technology (Microsoft Office Suite, calendar management, phone systems).
  • Ability to work independently and proactively, with a high degree of ownership.
  • Physical requirements: Ability to lift up to 25 lbs., stand and walk for extended periods, bend, reach, and perform light cleaning and organizing tasks as needed.
  • Friendly, approachable demeanor with a commitment to creating a welcoming office environment.

Preferred Skills & Qualifications:

  • Additional education or certifications in business administration, office management, or related fields.
  • Experience with event planning, culture-building initiatives, or employee engagement programs.
  • Familiarity with HR processes, onboarding, and internal communications.
