REQUIREMENTSEDUCATION LEVEL:Associate Degree or Post-Secondary Business/Office Training. Sioux Falls School District clerical experience may be considered in lieu of education requirement.
EXPERIENCE REQUIRED:Three to five years
PHYSICAL REQUIREMENTS:Constant hand-eye/mind-eye coordination, hearing; intermittent keyboarding, use of wrists, hands, fingers, speaking, typing and writing. Frequent filing, sitting, standing and walking.
OTHER REQUIREMENTS:Excellent office management and organizational skills. Strong verbal and written communication skills. Demonstrated ability to work with people in a positive manner. Demonstrated proficiency with a computer, data input, word processing and spreadsheets
ESSENTIAL FUNCTIONS & DUTIES- Maintains and operates the District card reader ID card access system to include: card reader repairs at all locations, printing badges and access cards for all staff and mentors. Assigning, changing and deleting access levels based on District policy.
- Orders repairs for card readers, elevators and coordinates pest control services.
- Issues and tracks Contractor key/card access during construction projects.
- Maintains District master key records. Issues outside and inside master keys to building administrators and Operational Services department staff.
- Serves as District contact person between a school building and power company in the event of a power outage.
- Serves as District contact person and coordinator for Xcel Energy for curtailment and start-up of electricity during peak control (demand) periods.
- Administers the District garbage/waste/recycling contract.
- Prepares and administers the custodial uniform contract, orders and distributes uniforms to Operational Services staff. Approves new uniform shoe purchases.
- Processes invoices and contract pay requests verifying invoices match issued purchase orders and/or contracts.
- Requests Operational services job postings, required Union notifications and process Department PAF's.
- Maintains Operational Services District's equipment inventory.
- Maintains department petty cash.
- Prepares Department memos outlining general information, schedule modifications and summer and school start-up annual memos.
- Process STC/Regents monthly billings.
- Reviews organization of specification books prior to printing.
- Schedules annual Operational Services walk-throughs with Building Administrators.
- Performs other duties as assigned.
Shared:- Serves as receptionist. Schedules meetings and maintains Operational Service's Conference rooms.
- Knows District policies and Operational Services procedures in order to provide correct information to employees and citizens.
- Receives service/repair requests from all buildings, determines urgency and notifies appropriate department managers.
- Monitors all Operational Services department absences and informs all staff of absence procedures. Receives daily calls from staff calling in sick, etc.
- Time Clock System: Maintains and audits absence records, timesheets and OT on a daily, weekly, monthly basis for over 200 Operational Services staff. Work with staff to resolve missing punches and leave requests.
- Audits and reconciles credit card statements for 30 employees in the Operational Services department.
- Audits and processes all utility bills for all District facilities/sites. Makes contacts with utility companies regarding any discrepancies. Maintains annual utility records for all buildings.
- Backup to processing invoices and contract pay requests verifying department purchases and/or services.
- Works directly with vendors to resolve problems. Maintains records of Operational Services expenditures and gathers records data for budget preparation.
- Orders supplies and maintains equipment necessary for Operational Services office operations and various Central Services Center operations.

Pay Day: Last working day of each month.
HOURS & FTEMonday through Friday, 7:00 am to 3:30 pm with a 30-minute unpaid break
