As our firm continues to grow, we are looking for a detail-oriented and motivated Paralegal to join our team.
Position Overview
The Immigration Paralegal will develop and maintain support for our attorneys by performing substantive legal work, including case preparation and filing legal documents. The ideal candidate is detail-oriented, highly organized, able to multitask under pressure, and committed to providing exceptional support to clients and staff. This role involves heavy use of legal software for research, document management, and electronic filing.
Key Responsibilities
Case & Document Preparation
- Assist attorneys in preparing cases for interviews, hearings, and court appearances
- Conduct preliminary legal and factual research, including local and federal statutes, country conditions, and case law
- Draft letters, pleadings, petitions, applications, motions, briefs, contracts, affidavits, declarations, and other legal documents for attorney review
- Compile and organize evidence and supporting documentation
- File documents with USCIS, the Department of State, NVC, EOIR, BIA, and other court systems as needed
Calendar & Deadline Management
- Monitor and maintain the master calendar and attorney schedules
- Confirm deadlines, set reminders, and ensure all filings and appearances are met on time
- Verify client contact information is accurate for all scheduled appointments
- Ensure timely responses to agency requests
Client & Case Management
- Organize and maintain physical and electronic case files in compliance with firm procedures
- Communicate with clients to gather information, provide case status updates, and draft correspondence including close letters
- Confirm client appearances for court dates and scheduled appointments
- Conduct periodic case status audits and submit case inquiries to USCIS as needed
- Maintain detailed case notes so team members can assist clients in your absence
Communication & Scheduling
- Answer and direct telephone calls; respond to client communications within 24 hours (excluding weekends and holidays)
- Monitor and respond to shared email and personal work email
- Set out-of-office messages or forward calls to answering service when absent more than 24 hours
- Schedule consultations, process payments, and set appointment reminders
- Greet and assist walk-in clients; encourage scheduled appointments when possible
Administrative & Office Support
- Assist with case intake, billing, and client management systems
- Manage and maintain current client contact information
- Conduct client and witness interviews, investigations, and summarize depositions and transcripts as needed
- Support general clerical duties including filing, scanning, shredding, and record keeping
- May supervise or provide guidance to support staff and student employees
- Maintain professional development through seminars, workshops, and professional affiliations to stay current on immigration law
In-Office Responsibilities
- Maintain a clean, welcoming reception area; greet all visitors and offer refreshments
- Keep coffee stations and mini fridges stocked; wipe down consultation tables between appointments
- Ensure office supply inventory is monitored and restocked as needed
- Maintain organized physical files in alphabetical order per firm filing procedures
- Open and secure the office (lights on in the morning, doors locked at close)
- Assist with vacuuming, dusting, and general upkeep of public areas and personal workspace
- Take out garbage and recycling as needed; support teammates when additional help is needed
