Job Title: Parts Coordinator
Position Overview
The Parts Coordinator is responsible for sourcing, purchasing, inventory management, and distribution of parts and supplies for diesel, body, fabrication, and agricultural shops. This role also manages shop and lot organization, ensures company vehicles and equipment are presentable, and supports technicians by driving to town to pick up and deliver parts. The ideal candidate is highly self-motivated, able to prioritize and schedule their own day without constant oversight, and focused on keeping shop operations running smoothly.
Key Responsibilities
Parts & Inventory Management
  • Source, order, and track all parts, tools, and materials for diesel, body, fabrication, and ag shop operations.
  • Maintain accurate inventory levels through routine counts and effective stock control.
  • Organize and label parts storage areas for efficiency and accessibility.
  • Manage returns, core exchanges, and warranty claims.
Vendor & Purchasing Coordination
  • Develop and maintain strong relationships with vendors and suppliers to negotiate competitive pricing and favorable terms.
  • Research alternative vendors when necessary to reduce costs and lead times.
  • Monitor backorders and proactively communicate expected arrival times to technicians and managers.
Shop & Lot Organization
  • Maintain a clean, organized, and efficient shop environment.
  • Organize tools, equipment, and parts areas to support productivity.
  • Ensure lot and yard areas are orderly, safe, and well maintained.
  • Monitor appearance and readiness of company trucks and equipment.
Parts Running & Shop Support
  • Drive to town and pick up ordered parts, ensuring quick turnaround for urgent jobs.
  • Deliver parts to the shop and technicians as needed.
  • Coordinate with shop managers and foremen to forecast parts needs based on upcoming projects and repairs.
  • Prioritize errands and deliveries according to job urgency and schedule.
Administrative & Reporting
  • Maintain accurate purchase records, invoices, and receipts.
  • Track parts usage, costs, and trends for management reporting.
  • Ensure compliance with company policies and safety procedures regarding parts handling and storage.
  • Monitor shop assets (tools, equipment, and consumables) and manage replacements or repairs as needed.
Qualifications & Skills
  • Experience in parts coordination, inventory control, or procurement (preferably in diesel, ag, fabrication, or heavy equipment industries).
  • Strong knowledge of diesel truck, fabrication, agricultural, and body repair parts.
  • Excellent organizational skills with attention to detail.
  • Ability to multitask and prioritize in a fast-paced environment.
  • Self-motivated with strong time-management skills; able to schedule and manage daily workload independently.
  • Strong communication and negotiation skills for working with vendors and shop staff.
  • Proficient with inventory management systems and basic computer applications (Excel, Outlook, etc.).
  • Valid driver’s license and clean driving record (for parts running).
