Job Description

Augustana University invites applications for a Payroll Coordinator. This position serves as a key member of the Human Resources and Payroll team by supporting the accurate and timely processing of the university’s biweekly and monthly payrolls. The coordinator works closely with employees, supervisors, students, and campus departments to support payroll and timekeeping processes while ensuring accuracy, compliance, confidentiality, and excellent customer service.

 

Responsibilities include the following:

Assist with the preparation, auditing, and processing of biweekly and monthly payrolls.

Process payroll updates including new hires, terminations, compensation changes, cost allocation updates, one-time payments, and other payroll transactions.

Review and reconcile timekeeping records, payroll reports, and supporting documentation for accuracy and completeness.

Respond to employee and supervisor questions regarding payroll, timekeeping, tax withholdings, benefit deductions, and related processes.

Maintain accurate and confidential payroll records and assist with payroll reporting, audits, tax documentation, and regulatory requirements.

Support multi-state payroll and employment compliance for remote and hybrid employees.

Provide payroll and timekeeping training, guidance, and communications to employees and supervisors.

Partner with Human Resources and campus departments to resolve payroll issues, improve processes, and support university operations.

Qualifications:

High school diploma or equivalent required; associate’s degree or coursework in Human Resources, business, or a related field preferred.

Two or more years of administrative experience in payroll, Human Resources, data entry, or a related area.

Proficiency with Microsoft Office, particularly Excel, and the ability to learn payroll, HRIS, and timekeeping systems.

Familiarity with ADP Workforce Now, HRIS, or timekeeping systems is preferred.

Knowledge of payroll regulations and experience in higher education or the nonprofit sector is preferred.
