Job Description

SUMMARY: The Property and Procurement Clerk ensures purchases of commodities, supplies, services, and equipment are performed promptly and with acceptable quality. Compiles records concerned with ordering, receiving, storing, issuing, and shipping materials, supplies, and equipment. Professionally responds to and resolves questions and problems from employees and vendors.


ESSENTIAL DUTIES AND RESPONSIBILITIES: Other duties may be assigned.
• Establishes up-to-date purchasing policies and ensures compliance. Must have a thorough working knowledge of purchasing policies, processes, and procedures.
• Complete knowledge of warehouse and inventory control policies and procedures.
• Extensive knowledge and ability to negotiate the best vendor terms, pricing, service guarantee, and delivery.
• Coordinates with Department Heads in the purchasing process. Must be able to remain objective in this process.
• Responsible for vendor evaluation and for soliciting three bids when possible. Analyzes bids to determine the lowest responsible bidder.
• Prepares purchase orders or bid requests and issues for procurement.
• Conduct annual (physical) inventory.
• Maintain an updated inventory list with department, serial, and/or model numbers, funding, purchase date, and amount.

MINIMUM QUALIFICATIONS:

  • High school diploma or GED and three to six months' related experience and/or training; or equivalent combination of education and experience
  • Must have a valid driver's license, and the incumbent should know accounting software, internet software, inventory software, spreadsheet software, and Word processing software.
