The Program Assistant I provides technical and administrative support for grant compliance, offender management system operations, and program data reporting. This position assists with monitoring grant requirements, maintaining datasets and standardized reports, managing user access and permissions within the offender management system, and triaging system-related issues.

Grant Monitoring & Reporting :

  • Assist with tracking grant performance measures, deliverables, and reporting deadlines.
  • Compile, verify, and prepare data for state and federal grant reports.
  • Monitor compliance documentation and maintain grant files.


Offender Management System (OMS) Support :

  • Process and manage user account requests, access permissions, and role assignments in the offender management system.
  • Research and correct data entry errors in coordination with operational staff.
  • Assist in maintaining user documentation and system procedures.
  • System functionality health checks.
  • In-system form management.


Data Maintenance & Reporting :

  • Maintain standardized datasets used for operational and performance reporting.
  • Run recurring reports and distribute to internal stakeholders.
  • Perform routine data validation and quality checks.
  • Assist in compiling statistical summaries and trend reports.
  • Support development and refinement of reporting tools and templates.


User Issue Triage & Support :

  • Serve as first point of contact for routine user issues related to system access or reporting.
  • Troubleshoot basic system or data questions and escalate complex issues as appropriate.
  • Track and document issues to ensure resolution.
  • Provide guidance to users on established procedures and reporting requirements.


Additional Responsibilities :

  • Maintain organized electronic records and documentation.
  • Assist in process improvement initiatives.
  • Perform other duties as assigned to support division objectives.

Knowledge of:

  • basic data management principles;
  • grant compliance and reporting processes;
  • database or offender management systems;
  • public sector administrative processes.


Ability to:

  • interpret and apply policies, procedures, and reporting guidelines;
  • analyze data for completeness and accuracy;
  • troubleshoot routine technical and data issues;
  • maintain confidentiality of sensitive offender and operational data;
  • communicate clearly with technical and non-technical users;
  • prioritize tasks and meet reporting deadlines;
  • work independently within established guidelines.
