Position Overview
We are seeking a Remote Executive Office Assistant who is proactive, detail-oriented, and committed to excellence. This role requires a high level of professionalism and independence. The ideal candidate thrives in a self-directed environment, anticipates needs before they arise, and consistently goes above and beyond to ensure smooth operations across the practice.

As an essential partner to our leadership, you will serve as an advocate and strong support for Kimberly — someone who embodies integrity, dependability, and a sophisticated understanding of executive-level service.

Key Responsibilities

  • Oversee daily administrative and operational needs of the practice with professionalism and discretion.

  • Manage office supply inventory.

  • Oversee daily office operations, serving as the primary communication liaison between the company and outsourced service providers and vendors.

  • Process mail, payments, and deposits accurately and efficiently.

  • Maintain therapist and client records within EMR system while ensuring HIPAA compliance.

  • Process new client intake paperwork and maintain patient e-files in EMR system.

  • Coordinate licensing, credentialing, and continuing education requirements.

  • Assist with HR and payroll functions while maintaining confidentiality and precision.

  • Serve as an extension of Kimberly’s leadership — proactive, trustworthy, and committed to excellence in every detail.

Qualifications

  • Proven experience in executive assistance, office management, or business operations (preferably in healthcare or a professional setting).

  • Highly organized with exceptional attention to detail and follow-through.

  • Strong written and verbal communication skills.

  • Tech-savvy and comfortable learning new systems.

  • Self-motivated, dependable, and able to manage time effectively with minimal supervision.

  • Discreet, professional, and loyal — dedicated to supporting the company’s mission and success.
