The Rapid City Correctional Facility is currently seeking a highly organized and skilled individual to fill the position of Senior Secretary. As the Senior Secretary, you will be responsible for providing comprehensive administrative and secretarial support to the Warden and senior staff of the institution. This position is vital in maintaining effective communication channels between the general public, staff, and the Warden's office.

Key Responsibilities:
  • serve as the primary point of contact for all incoming calls, emails, and correspondence directed to the Warden's office, ensuring prompt and professional responses.
  • coordinate and manage the Warden's calendar, scheduling appointments, meetings, and events, and making necessary travel arrangements.
  • prepare and review a wide range of documents, including reports, memos, letters, and presentations, ensuring accuracy, clarity, and confidentiality.
  • conduct research, compile data, and provide analysis to support the decision-making process of the Warden and senior management.
  • act as a liaison between the Warden's office and internal departments, external agencies, stakeholders, and the general public, ensuring effective communication and collaboration.
  • manage and maintain the filing systems, records, and databases, ensuring accurate and efficient retrieval of information.
  • assist in the preparation and coordination of meetings, conferences, and special events, including agenda development, meeting minutes, and logistical arrangements.
  • handle confidential and sensitive information with the utmost discretion and integrity.
  • perform other duties as assigned by the Warden, contributing to the overall effectiveness and efficiency of the office.

The Ideal Candidate Will Have:
  • high school diploma or equivalent is required; additional relevant certifications or education is preferred.
  • minimum of 3 years of experience in a similar administrative or secretarial role, preferably in a correctional institution or related field.
  • strong organizational and time management skills, with the ability to prioritize tasks and meet deadlines in a fast-paced environment.
  • excellent written and verbal communication skills, with a keen eye for detail and accuracy.
  • proficient computer skills, including MS Office Suite and database management.
  • ability to exercise discretion, confidentiality, and professionalism in handling sensitive information.
  • demonstrated ability to work independently, make sound decisions, and solve problems effectively.
  • flexibility and adaptability to changing priorities and tasks.
  • strong interpersonal skills and the ability to establish and maintain effective working relationships with internal and external stakeholders.
  • knowledge of correctional facility operations and procedures is desirable.

Knowledge of:
  • business English including grammar, spelling, and punctuation;
  • modern office equipment, practices, and procedures;
  • bookkeeping methods.

Ability to:
  • type accurately in positions requiring keyboarding;
  • set up and type copy in a variety of formats such as narratives, manuscripts, business correspondence, statistical tables, etc.;
  • proofread and edit rough copy for grammar, spelling, syntax, and style;
  • calculate solutions to arithmetic problems involving addition, subtraction, multiplication, division, and percentages;
  • communicate in a concise and effective manner;
  • compose a general business letter;
  • read and comprehend written materials;
  • accurately record, file, and transmit information;
  • accomplish assigned professional tasks;
  • organize and coordinate activities;
  • research and compile data;
  • exercise tact, patience, and discretion in communicating and dealing with persons of varying backgrounds and temperament.

This position is exempt from the Civil Service Act.
This position is eligible for Veterans' Preference per ARSD 55:10:02:08.
