The Department of Health is seeking a detail-oriented and proactive Senior Secretary to provide high-level clerical and administrative support to Office Administrators, Program Managers, and the General Counsel. This role plays a vital part in maintaining efficient operations, supporting legal processes, and upholding the confidentiality and integrity of public health services.
Key Responsibilities:
- Serve as a backup first point of contact for the public and incoming calls; greet and direct guests.
- Support legal processes by preparing court documents, conducting research on court requirements, and ensuring compliance with legal deadlines.
- Manage scheduling for meetings, interviews, and events; coordinate logistics and provide on-site support.
- Prepare and distribute reports, meeting materials, and large mailings.
- Maintain confidential records and databases, including immunization and legal records, ensuring accuracy and data privacy.
- Evaluate and improve administrative procedures (e.g., travel request process), identifying exceptions and implementing solutions.
- Monitor purchasing activities to ensure compliance with procurement policies; conduct item research and comparisons.
- Handle sensitive data, including personally identifiable information, with discretion and accuracy; verify identity before releasing records.
- Compile programmatic and legal reports for leadership and support data-informed decision-making.
- Flexibly manage priorities and shifting deadlines in a team-focused environment.

The Ideal Candidate Will Have:
Experience with secretarial and administrative support duties. This position requires the ability to prioritize and successfully complete multiple projects at one time, often with interruptions and directional changes due to needs within the organization.
Knowledge of computers and a variety of programs including Microsoft Office Suite software (Outlook, Word, Excel, and Access) as well as specialized programs within the Department.
Skill to manage multiple projects with attention to detail, accuracy and timeliness, and to prioritize those projects as necessary, asking appropriate questions when needed. This position includes many day-to-day functions as well as long term projects for the department, as well as serving as a customer service contact for callers and visitors within the State Public Health Laboratory.
Ability to work in collaborative team environments and demonstrate effective time management and organizational skills, often handling multiple projects at one time, to pay attention to detail, to communicate effectively and efficiently.
