The Highway Patrol is seeking an experienced and resourceful self-starter to serve as a
Senior Secretary for the executive command and district staff. This individual will provide administrative support and perform numerous duties, including scheduling, writing correspondence, emailing, handling visitors, routing callers, answering questions and requests, database entry, and be responsible for providing customer service and general administrative support for the division and a district.
This is a Full-Time 40 Hours Weekly position with the Department of Public Safety. For more information on the Department of Public Safety, please visit https://www.sd.gov/dps .
The Ideal Candidate Will Have:
The ideal candidate will have a history of working in collaborative team environments and demonstrating effective time management and organizational skills, attention to detail, and verbal and written communication abilities including spelling, punctuation, and grammar. Advanced use of the Microsoft Office Suite software (Excel, Access, Outlook, Word, and PowerPoint) is also required. Proficiency in written correspondence will be a plus. The ability to learn the records management of the highway patrol will be expected. Equally important will be a strong work ethic, interpersonal skills, discretion, confidentiality, positive attitude, and a good sense of humor! Ability to: - handle highly sensitive and confidential information
- courteously answer and route phone calls and walk-in traffic to the proper offices within the Division and Department;
- prepare and send various letters and correspondence for command staff personnel;
- maintain the Division's operational filing system and personnel files for approximately 265 employees;
- order supplies and handle miscellaneous printing requests to Central Duplicating;
- type accurately;
- set up and type copy in a variety of formats such as narratives, manuscripts, business correspondence, statistical tables, etc.;
- proofread and edit rough copy for grammar, spelling, syntax, and style;
- calculate solutions to arithmetic problems involving addition, subtraction, multiplication, division, and percentages;
- communicate in a concise and effective manner;
- compose general business letters;
- read and comprehend written materials;
- accurately record, file, and transmit information;
- accomplish assigned professional tasks;
- organize and coordinate activities;
- research and compile data; and
- exercise tact, patience, and discretion in communicating and dealing with persons of varying backgrounds and temperament.
This position is eligible for Veterans' Preference per ARSD 55:10:02:08.
