Overview
Join our team as a Service Writer and play an important role in keeping our repair shop organized and running smoothly. You’ll serve as a key point of communication between customers, technicians, vendors, drivers, and management while coordinating repair work, parts, and fleet maintenance.
This position is a good fit for someone who understands trucks, diesel equipment, or repair shop operations and enjoys keeping customers informed, technicians supplied with the right parts, and service work moving from start to finish.
Duties
- Serve as a primary point of contact for customers requesting maintenance, service, or repair work.
- Gather information about vehicle and equipment concerns, open service orders, and clearly communicate repair needs to technicians.
- Coordinate repair schedules and priorities while keeping customers informed about repair status, parts availability, and expected completion.
- Prepare service estimates and communicate changes in repair scope, pricing, or timelines as needed.
- Review completed service orders to ensure labor, parts, and other charges are accurately documented before jobs are closed and prepared for billing.
- Research, order, receive, and track parts while working with vendors on pricing, availability, delivery, returns, cores, warranty items, and credits.
- Maintain accurate parts inventory and ensure parts are assigned to the correct customer, repair order, truck, trailer, or equipment.
- Help coordinate preventive maintenance, repairs, and inspections for company trucks, trailers, and equipment.
- Track open fleet repairs and maintenance needs while communicating equipment availability to drivers, technicians, and management.
- Maintain organized service, parts, inventory, and fleet maintenance records while helping identify ways to reduce delays and improve shop efficiency.
Requirements
- Experience in service writing, parts, automotive, diesel, fleet maintenance, equipment repair, or a related shop environment.
- Working knowledge of trucks, trailers, diesel equipment, automotive repair, or similar mechanical systems.
- Familiarity with service orders, repair processes, parts ordering, inventory tracking, and maintenance records.
- Ability to research and identify parts and communicate effectively with parts vendors and technicians.
- Strong customer service and communication skills with the ability to explain repair information clearly.
- Strong organizational skills and attention to detail when managing service orders, parts, and maintenance records.
- Ability to manage multiple repair needs and priorities while following jobs through to completion.
- Comfortable using computers, Microsoft Office or similar programs, and shop, inventory, or fleet management systems.
- High school diploma or equivalent.
- Previous experience in a truck, diesel, automotive, or equipment repair operation is preferred.
