Overview:
We are seeking a friendly and organized Support Specialist / Receptionist / BHT (Behavioral Health Technician) to be the first point of contact for our clients and provide exceptional support to our professional staff. Key Responsibilities:
- Reception & Customer Service:
- Greet clients warmly and ensure they have a positive experience from the moment they enter or call.
- Answer and direct phone calls in a professional and timely manner.
- Assist clients with appointment scheduling, confirmations, and follow-up.
- Manage client check-ins and check-outs, ensuring accurate records.
- Administrative Support:
- Provide administrative assistance to professional staff (including therapists, medical providers, and other team members) as needed.
- Organize and maintain appointment schedules to optimize time and workflow.
- Help manage and update client information in our systems.
- Complete required client documentation and assist with intake paperwork related to crisis services as assigned.
- Coordination & Communication:
- Serve as a liaison between clients and professional staff to ensure seamless communication.
- Respond to client inquiries, provide information, and address any concerns in a professional manner.
- Assist with special projects and support daily operations as required.
- Communicate client concerns and changes in behavior to QMHP or other clinical staff.
- Collaborate with clinical staff to support coordinated care.
- Maintain accurate documentation in accordance with agency policies and procedures.
- Behavioral Health Support (as needed):
- Provide direct observation and supervision of clients receiving crisis services.
- Offer supportive, non-judgmental interaction while maintaining professional boundaries.
- Obtain vital signs and assist with administration paperwork as directed.
- Assist with meal preparation, maintaining a safe environment, and other client support activities during admissions.
Qualifications:
- Previous experience in a receptionist, customer service, or administrative role is preferred.
- Strong communication skills, both verbal and written.
- Excellent organizational skills and attention to detail.
- Ability to manage multiple tasks efficiently and effectively in a fast-paced environment.
- A friendly, professional demeanor and a passion for helping others.
- Proficiency with office software (Microsoft Office, Google Suite, etc.) and scheduling tools.
- Experience with Electronic Health Records (EHR) systems or the ability to quickly learn new software.
- Ability to remain calm and respond appropriately in crisis or emergency situations.
Bonus:
- Experience in healthcare, behavioral health, wellness, or similar fields is a plus.
- Familiarity with office operations in a team-based environment.
