This is a Full-Time 40 Hours Weekly position with the Bureau of Human Resources and Administration's Office of the State Engineer. For more information on the Bureau of Human Resources and Administration, please visit https://www.sd.gov/bhra .
The Office of the State Engineer manages all vertical construction projects for all state-owned facilities across South Dakota. The Support Staff Supervisor along with the positions they supervise - Program Assistants and Secretaries - support this work. This entire office support group handles the general day-to-day paperwork and operations to support the project managers in their day-to-day duties.
The Program Assistant/Secretary duties include:
- writing and routing advertisements, requests for statements of interest, and requests for qualifications;
- proofreading all contract documents;
- answering phone calls;
- posting information to the OSE website;
- reviewing/processing project payments, travel vouchers, and general office invoices.
The Support Staff Supervisor will manage the Program Assistants and Secretaries, understanding how to perform their duties, covering in absences or high volume periods of work, and training new support staff employees. In addition the Support Staff Supervisor will have the following duties:
- writing/routing contract documents;
- reviewing required documents;
- filing information into OwnerInsite (software);
- managing the OSE record drawings (physical & electronic files);
- compiling monthly status reports;
- procurement for the office (P-card holder);
- assist with planning and scheduling the annual OSE conference; and,
- act as the assistant to the State Engineer and Deputy State Engineer as needed.
The Ideal Candidate Will Have:- managerial experience as well as contract/payment processing experience.
