Position Summary
The Veterinary Assistant/Client Services Representative is a dual-role position responsible for supporting both exceptional client service and efficient patient care. This team member serves as a primary point of contact for clients through scheduling, communication, check-in and check-out, follow-up, and accurate recordkeeping, while also assisting the veterinary team with appointments, animal handling and restraint, patient histories, basic vitals, exam room preparation, and documentation in the hospital software system. This position plays an important role in creating a compassionate, organized, and mission-driven experience for clients, patients, and the veterinary care team.
Key Responsibilities
• Greet clients and visitors warmly and professionally at the front desk.
• Schedule appointments, manage calendars, and confirm upcoming visits.
• Answer phone calls, respond to inquiries, and relay messages to veterinary staff.
• Maintain accurate client records and update contact information as needed.
• Provide follow-up communication regarding treatment plans, medication instructions, and post-visit care
• Assist with client check-in and check-out procedures.
• Coordinate front desk operations including filing, data entry, and supply inventory.
• Support billing inquiries and direct clients to appropriate resources.
• Assist veterinarians and veterinary technicians during appointments, examinations, and basic treatment procedures.
• Safely handle and restrain animals in a calm, compassionate, and low-stress manner.
• Prepare exam rooms, treatment areas, equipment, and supplies before and after appointments.
• Collect patient histories, record basic vitals, and document visit information accurately in the medical record.
Qualifications and Experience
• High school diploma or equivalent required; associate degree or veterinary assistant certification preferred.
• Two years of experience working in similar role at a veterinary clinic or animal shelter required.
• Strong communication and interpersonal skills.
• Proficiency in scheduling software and digital record systems.
• Ability to multitask in a fast-paced environment.
