The Office of Vital Records is seeking a qualified individual to serve as a Registration Unit Supervisor. This position will support the Program Administrator in managing the day-to-day operations of the office and will play a key leadership role overseeing the birth and marriage registration teams.
The Registration Unit Supervisor is responsible for supervising and mentoring staff; ensuring compliance with state and federal statutes and rules; developing and delivering training for both staff and end users; and maintaining the integrity and accuracy of the state's electronic registration and certification systems. This role is critical to maintaining high standards of data quality for public health statistics and ensuring ongoing accreditation with the Public Health Accreditation Board (PHAB).
Licenses and Certifications: A valid driver's license is required to operate state vehicles
The Ideal Candidate Will Have: Demonstrated experience acting in a team lead or supervisory capacity. At least one year of experience with accreditation processes (PHAB experience preferred). Strong understanding of public sector operations and experience working within or in partnership with government entities. Proven ability to manage multiple complex projects simultaneously. Knowledge of information technology and emerging technologies relevant to electronic registration and certification systems. Excellent communication, collaboration, and training development skills. In-depth understanding of state and federal laws and regulations related to vital records.
Knowledge, Skills, and Abilities: - Provide supervision, mentoring, and technical guidance to birth and marriage registration staff.
- Lead conversations and decision-making on personnel issues and staffing needs.
- Develop and coordinate training programs and materials for staff and external users to ensure compliance and consistency across local issuance offices.
- Ensure alignment of all operations with applicable state and federal laws, rules, and regulations.
- Oversee legal modifications to vital records, including corrections, amendments, and adjudications.
- Collaborate with external agencies, partners, and stakeholders to support program goals and service delivery.
- Maintain and update policy and procedure manuals.
- Monitor and ensure the quality of data for public health statistical use.
- Support the development, maintenance, and improvement of the electronic registration and certification system.
- Ensure the program maintains full accreditation with the Public Health Accreditation Board.
- Lead and participate in problem-solving, planning, and policy development efforts with staff.
